PART-TIME CLIENT CARE & OPERATIONS COORDINATOR

About the Role
Ironstone Farm is seeking a dynamic and highly organized Client Care & Operations Coordinator to serve as the central hub for daily operations. This forward-facing, client-centered role is essential to ensuring the smooth flow of lessons and programs while maintaining excellent communication with riders, families, volunteers, and staff. As the first point of contact for many, you will embody our welcoming and supportive environment, keeping our daily operations running efficiently and effectively.

Key Responsibilities

Client & Community Engagement
● Answer phones, manage scheduling inquiries, and assist with day-of logistics, ensuring everyone feels informed and supported.
● Proactively follow up with clients and volunteers regarding schedule changes, program updates, and general inquiries.

Scheduling & Operations Management
● Update the master schedule, ensuring smooth coordination across lessons, programs, and volunteer shifts.
● Work closely with instructors and program staff to manage daily scheduling needs and communicate changes promptly.
● Anticipate and troubleshoot scheduling challenges, helping to create solutions that keep operations running seamlessly.

● A highly organized and detail-oriented individual who thrives in a fast-paced, dynamic environment.
● A people-person with excellent communication skills who can build positive relationships with riders, families, and volunteers.
● Ability to manage multiple priorities while maintaining a warm, professional, and solutions-focused approach.
● Strong proficiency in scheduling, administrative processes, and customer service.
